What is a billable collaborator?
Billable collaborators are workspace, base, or interface collaborators with Owner, Creator, or Editor permissions that result in changes to your bill.
How much do billable collaborators cost monthly or annually?
Adding Owners, Creators, or Editors workspaces is billable on Team plans—billed $24 per collaborator/month, billed monthly or $20 per collaborator/ month, billed annually.
Adding Owners, Creators, or Editors to workspaces is billable on self-serve Business plans—billed $54 per collaborator/month, billed monthly or $45 per collaborator/ month, billed annually.
Adding Owners, Creators, Editors, or Commenters to workspaces is billable on Non-profit plans—billed at $12 per collaborator/month, monthly or annually.
Adding Owners, Creators, or Editors to workspaces on sales-led Business plans or Enterprise Scale plans is available by contacting the Airtable’s Sales team.
What happens after adding billable collaborators?
This covers self-serve Team and Business plans. Enterprise Scale and sales-managed Business plans aren't billed this way.
Monthly plans: Adding a billable collaborator partway through the month doesn't trigger an immediate charge. Instead, your next invoice includes a prorated charge for the new collaborator covering the rest of the current billing period, along with your regular monthly charge for your current number of billable collaborators. That's why a month in which you add collaborators can cost more than usual.
Annual plans: After you add a billable collaborator, you're charged a prorated amount for that collaborator for the rest of your annual term. The charge isn't immediate: it appears on your next monthly invoice.
What happens after removing billable collaborators?
This covers self-serve Team and Business plans. Enterprise Scale and sales-managed Business plans aren't billed this way.
Removing a billable collaborator mid-billing cycle doesn't reduce your current invoice. Instead, your seat count goes down at your next renewal, so you won't be billed for that seat going forward. If your team size changes often, or you want more control over your budget, we recommend a monthly billing cycle.
Until the end of the current billing cycle, the paid seat stays available to your workspace. You can fill it at no extra cost by:
Upgrading an existing non-billable collaborator (for example, a read-only collaborator) to a billable permission level
Add a new billable collaborator to any base or interface in the workspace
A collaborator only stops being billable when they no longer have billable access anywhere in the workspace. If they're still an editor on another base, for example, they still use a seat.

FAQs
How do I review my workspace collaborators?
Open your Airtable account overview.
Select a workspace that you own.
Click Collaborators.
Click Add or manage workspace collaborators.
Click > in the section below “People with access.”
From this screen, you can review both billable and free collaborators, update permission levels, and remove collaborators.
How do I review my base collaborators?
Open your Airtable home screen.
Open the base with collaborators you want to review from the "Workspace settings" menu.
Click Share.
Click > in the section below “People with access.”
From this screen, you can review both billable and free collaborators, update permission levels, and remove collaborators.
Can my workspace collaborators invite additional collaborators?
Any collaborator you have added can also add collaborators at the same or a lower permission level.
For example, a collaborator with commenter permission can only invite collaborators with Commenter or Read-only permissions.
How do I limit what workspaces and bases my collaborators can access?
To limit what your collaborators can access:
Share only base access instead of base and workspace access
Create and share a view instead of sharing complete base and workspace access.
Who can create workspace and base share links?
Collaborators with Owner and Creator permissions can create workspace and base invite links.
Collaborators with Creator-level base permissions can create and remove base invite links for the base(s) the owner shared with them, but they cannot create workspace invite links for the workspace in which the base is located.
How do I delete workspace or base share links?
To delete base share links, consult this support article.
To delete workspace share links:
Open your Airtable account overview.
Select the workspace with share links you want to delete from the "Workspace settings" menu.
Click Collaborators.
Click Add or manage workspace collaborators.
Click the > button below the “Invite via link” section.
Click the edit invite link button next to the workspace share link that you want to delete.

Click Delete link.
Can sharing an interface add a billable collaborator?
Yes, depending on the access you grant to interface recipient. When you share an interface using an invite link, anyone who opens the link and signs in with a verified Airtable account is granted interface access automatically. Whether that person counts as a billable collaborator depends on their permission level: Read-only interface access doesn't count toward billable collaborators, but higher levels of access can.
To review who has access through an interface and adjust it:
Open your Airtable home screen.
Open the base connected to the interface that you want to review.
Click Share in the toolbar and review the list of collaborators.
To remove interface-only access, find the collaborator in the list and change or revoke their access.
Why am I receiving the "One collaborator cannot be invited" error and how can I resolve it?
If you receive an error when inviting a collaborator, it may be caused by:
Domain restrictions: Your organization's collaborator invites setting may prevent inviting users with certain email domains. Check Admin panel > Security > Collaborator invites to confirm whether domain restrictions apply.
Recently deleted or restored accounts: If a user account was recently deleted and then restored, there may be a brief window where invite processing fails. Wait a few minutes and try again.
Workspace membership conflicts: If the invitee already has a pending invitation to this workspace, cancel the existing invite before sending a new one.
