Sharing bases in Airtable

  • Creating public share links for entire bases allows anyone with access to the share link the ability to view the entire base, including its tables. Because share links create a publicly accessible webpage, viewers are not required to have an Airtable account.

  • Creating read-only share links offers an alternative to adding users as base collaborators.

  • The share links feature creates a private, randomly generated URL that allows non-collaborators read-only access to a view or base. Anyone with access to the share link you created can view the data contained within that view or base share link.

  • Team, Business, and Enterprise Scale plan workspace users can restrict access to share link bases and view share links with a password or by email domain.

Creating & configuring base share links in Airtable

To create base share links:

  1. Open your Airtable homepage.

  2. Locate and open your preferred based.

  3. Click Share in the right-hand corner.

    1. A window opens with various share link options and settings.

  4. Click Create link, then + Create invite link.

    1. Another window opens, allowing you to select your share link’s permission level and who can access it.

To configure base share link options:

  1. Open your Airtable homepage.

  2. Locate and open your preferred based.

  3. Click Share in the right-hand corner.

    1. A window opens with various share link options and settings.

  4. Click Share publicly.

    1. Select the “Enable shared base link” toggle to enable or disable full base access.

    2. Another window opens, allowing you to generate a new link, preview your link, embed your link, and enable or disable other share link settings.

Embedding Airtable bases

To embed a base:

  1. Open your Airtable homepage.

  2. Locate and open your preferred based.

  3. Click Share in the right-hand corner.

    1. A window opens with various share link options and settings.

  4. Click Share publicly.

  5. Select the “Enable shared base link” toggle to enable full base access.

  6. Click < >.

    1. A new tab opens, allowing you to copy the embed code and review desktop/mobile versions of your share link.

  7. Click Copy embedded code and paste it in your website editor.

Adding and updating share link passwords in Airtable

To add a share link password:

  1. Visit your Airtable homepage.

  2. Open your preferred base.

  3. Click Share in the right-hand corner.

  4. Click Share publicly.  

  5. Select the Restrict access with a password toggle to add a password.

  6. Enter your preferred password and click Set password.

To update a share link password:

  1. Visit your Airtable homepage.

  2. Open your preferred base.

  3. Click Share in the right-hand corner.

  4. Click Share publicly.

  5. Click Edit next to "Access is password-protected," enter a new password, and click Change password.

FAQs

Can you restrict multiple domains simultaneously when restricting access to a domain?

No, you are only able to limit a share link to a single domain.

Do CSV downloads reflect any filters I have enabled in my base?

No. If someone viewing a share link applies a filter to the link and downloads a CSV of the view's data, the CSV does not reflect any of the filters applied. The CSV only reflects the records from the original shared view. To create a filtered CSV:

  1. Download the CSV from the original share link.

  2. Import the CSV to your base and apply your preferred filters.

  3. Export that filtered view as a CSV.
