Adding and removing billable workspace collaborators

NOTE

Business and Enterprise Scale admins can access additional collaboration tools on the Users page of the admin panel.

Workspace collaborators have access to workspace bases and interfaces that are shared with them—at a specified permission level.

To add billable workspace collaborators:

  1. Open your Airtable account overview.

  2. Select your preferred workspace from the "Workspace settings" menu.

  3. Click Add or manage workspace collaborators from the “Billable collaborators” section.

    1. A workspace-sharing window opens, allowing you to select "Invite by email or "Invite by link."

  4. Enter your collaborator’s email address, select their permission level, and click Invite.  

    1. Alternatively, click Create link, select a permission level, and click Copy link.

To remove billable workspace collaborators:

  1. Open your Airtable account overview.

  2. Select your preferred workspace from the "Workspace settings" menu.

  3. Click Add or manage workspace collaborators from the “Billable collaborators” section.

  4. Click Manage access.  

  5. Select the checkbox next to the collaborator name(s) you want to remove.

  6. Click Remove collaborator in the top-right corner.

To add billable base collaborators:

  1. Open your Airtable homepage.

  2. Select and open your preferred base.

  3. Click Share.

    1. A base-sharing window opens, allowing you to select "Invite by email or "Invite by link."

  4. Enter your collaborator’s email address, select their permission level, and click Invite.  

    1. Alternatively, click Create link, select a permission level, and click Copy link.

To remove billable base collaborators:

  1. Open your Airtable homepage.

  2. Select and open your preferred base.

  3. Click Share.

  4. Click Manage access.

  5. Select the checkbox next to the collaborator name(s) you want to remove.

  6. Click Remove collaborator in the top-right corner.

Upgrading and downgrading billable workspace collaborator permissions

To upgrade or downgrade billable workspace collaborator permissions:

  1. Open your Airtable account overview.

  2. Select your preferred workspace from the "Workspace settings" menu.

  3. Click Add or manage workspace collaborators under the “Billable collaborators” section.

  4. Click Manage access.  

  5. Select the checkbox next to the collaborator name(s) you want to upgrade or downgrade.

  6. Click the ˅ icon under the “Permission” column, then select your preferred permission for that collaborator.

  2. Select and open your preferred base.

  3. Click Share.

Who is considered a billable collaborator?

  • Billable collaborators on the Team plan include anyone with commenter, editor, creator, or owner permissions. 

  • Billable collaborators on the Business plan include anyone with editor, creator, or owner permissions. 

How do I add non-billable workspace or base collaborators?

  • Follow the above steps to add non-billable workspace collaborators and then select a select an appropriate permission level. (“Read only” for Team plan customers and “Read only” and “Commenter” for Business plan customers.)

Can my workspace collaborators invite additional collaborators?

Any collaborator you have added can also add collaborators at the same or a lower permission level.

For example, a collaborator with commenter permission can only invite collaborators with "commenter" or "read only" permissions.

Who can create workspace and base share links?

  • Only owners and creators can create workspace or base invite links.

  • Creator-level base collaborators can create and remove base invite links for the base(s) the owner shared with them, but they cannot create workspace invite links for the workspace in which the base is located.

How do I delete share links?

To delete workspace share links:

  1. Open your Airtable account overview.

  2. Select your preferred workspace from the "Workspace settings" menu.

  3. Click Add or manage workspace collaborators from the “Billable collaborators” section.

  4. Click Manage access.

  5. Click Create link.

  6. Click the trashcan icon next to the share link you want to delete.

To delete base share links:

  1. Open your Airtable homepage.

  2. Select and open your preferred base.

  3. Click Share.

  4. Click Manage access.

  5. Click Create link.

  6. Click the trashcan icon next to the share link you want to delete.
