Hiding fields (customizing cards) in kanban view

With the Airtable kanban view, you can visualize your workflow in a board of stacked cards. Click and drag to move cards between different stacks, or reorder them within a stack. To see this view in action, check out this video!

Creating a kanban view

To create a new kanban view, open the view sidebar, then underneath the "Create" heading click the "Kanban" option. If your view creation section is collapsed, you will need to first expand it.

You will then be prompted to select one of the table's single select or collaborator fields to use to create stacks. If you do not already have an existing single select or collaborator field, you can create one using the "+ Create a new single select field" or "+ Create a new collaborator field" options.

We'll use the "Status" field to create our initial kanban stacks:

Changing a kanban view's associated field

In the view bar, there's an option that says "Stacked by [field]" which tells you which field you're currently using for this kanban view.

Clicking on this will bring up the field picker again. From here, you can change the associated field (by clicking on the appropriate radio button) or create an entirely new single select or collaborator field.

Customizing cards

The cover field is a designated attachment field, the contents of which appear at the top of each kanban card. When creating a kanban view, if your table has at least one attachment field, the first attachment field will be automatically set as your kanban view's cover field.

As with gallery view, if you have multiple attachments in the cover field, you can mouse over the cover to scroll through the different attachments at a glance.

To change the cover field, click on the "Customize cards" option in the view menu. You can then use the dropdown in the cover field section to select a different attachment field as the cover field, or choose to have no cover field.

The slider at the top of the customize cards menu allows you to choose whether the images on the cover fields will crop (fill the entire photo area by zooming and cropping the photo) or fit (zoom out to show the entire photo).

You can also choose which fields to show or hide on the kanban cards in the customize cards menu by checking or unchecking the boxes for the appropriate fields, or by clicking the hide all and show all buttons. To rearrange the order of the fields as they appear on the card, simply click and drag the field names into the desired order using the drag handles to the right of the field names.

Customizing card stacks

The stacks in a kanban view are comprised of all of the records in a table, organized by the kanban's selected single select or collaborator field.

Collapsing stacks

You can minimize a stack so it'll take up less space on your screen. Click on the dropdown arrow in the stack header, then select the "Collapse stack" option.

You can also collapse a stack by clicking on the collapse icon at the bottom of a stack (the icon looks like two arrows coming together). To expand a stack from a collapsed state, simply click anywhere on the collapsed stack.

Moving cards between stacks

You can drag and drop a record card from one stack to another stack. When you do so, the value of the single select field will change to reflect the new stack in which the card has been dropped. For example: if you have your cards stacked by a status field, and you drag a card from the "In progress" stack to the "Done" stack, the value in the status field will change from "In progress" to "Done," accordingly.

Note that you can drag and drop a card onto a collapsed stack. The collapsed stack will briefly expand to accommodate the card as you drag it onto the stack, then collapse again once you've dropped the card.

The uncategorized stack

If a record has no value in the field that was used to create the kanban view, that record will appear in the uncategorized stack, which is always the leftmost stack. As with the other record cards, if a card is dragged from the uncategorized stack onto another stack, the value of the single select field will change to reflect the new stack. If a categorized card is dropped into the uncategorized stack, then the value in the single select field will be cleared. The uncategorized stack, like other stacks, can be collapsed.

Moving stacks and adding new stacks

When the kanban view is created, the order of the stacks is determined by the order of the select options in the single select field. You can move around the stacks by clicking and dragging on the stack headers. The only stack which cannot be moved is the leftmost "Uncategorized" stack. Note that dragging the stacks will change the order of the select options in the single select field configuration menu, which may affect the appearance of other views.

To add a new stack, click the "+ New stack" option to the far right of all of the stacks. Creating a new stack will, accordingly, create a new option in the single select field.

Deleting a stack

To delete a stack, click on the dropdown arrow in the stack header, then select the "Delete stack" option.

If you delete a stack, this will not delete all of the records in that stack—rather, it will move all of the records in that stack to the uncategorized stack.

Sending a stack

Much like how you can send an individual record to an email address, you can also email an entire stack of records all at once. Click on the dropdown arrow in the stack header, then select the "Send records" option.

This will bring up a dialog box in which you can type the email address(es) of the people to whom you would like to send the records.

Filtering and sorting in kanban view

Filtering and sorting kanban cards works much like it does in grid view. To filter and sort records, click on the add filters and apply sort buttons in the view bar as necessary.

Deleting a kanban view

To delete a view, click the view menu button, then select "Delete view" at the bottom of the dropdown menu that appears—you'll see a trashcan icon, too.

Can I group fields in a Kanban view?

The Kanban view allows you to create stacks based on a collaborator or single select field in your table. We do not support further grouping for the Kanban view at this time.
